1. Who We Are

HQPodium LLC ("HQPodium," "we," "us," "our") operates a software-as-a-service platform used by sports academies, clubs, and instructors ("Academies") to manage scheduling, payments, rosters, athlete development, and communication with the families they serve.

This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to hqpodium.com, to academy websites hosted on our platform, and to the HQPodium application.

2. Information We Collect

2.1. Information you give us. When a parent or guardian creates a family account with an Academy, books a session, or registers an athlete, we collect the name, email address, and mobile phone number provided, along with athlete information the Academy requires (such as the athlete's name, age group, team, and skill level).

2.2. Payment information. Payments are processed by Stripe. We do not store full card numbers on our systems. We retain a record of the transaction (amount, date, status, and what it was for) so that Academies and families can see an accurate payment history.

2.3. Information collected automatically. Standard log data such as IP address, browser type, and pages visited, used to keep the Service secure and working.

3. SMS / Text Message Program

3.1. Consent. Academies use HQPodium to send text messages to the parents and guardians in their programs. Parents opt in by providing their mobile number and agreeing to receive text messages when they create an account with an Academy or book a session. Consent to receive text messages is not a condition of purchase.

3.2. What we send. Messages are transactional and service-related: reminders about scheduled lessons, practices, and sessions; notifications of schedule changes or cancellations; payment and registration confirmations and reminders; and replies to questions you send to your Academy.

3.3. Message frequency. Message frequency varies based on your activity with your Academy. You can typically expect to receive up to 5 messages per week, and no more than 10 messages per week.

3.4. Message and data rates may apply. Message and data rates may apply. HQPodium and your Academy are not responsible for charges from your mobile carrier.

3.5. How to opt out. You may opt out at any time by replying STOP to any message. You will receive a single confirmation that you have been unsubscribed, and no further messages will be sent. To rejoin, reply START. For help, reply HELP or email support@hqpodium.com.

3.6. WE DO NOT SELL OR SHARE YOUR MOBILE NUMBER OR YOUR CONSENT. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile phone numbers collected for SMS are never sold, rented, leased, or shared with third parties, affiliates, or lead generators for their own marketing or promotional purposes.

3.7. TEXT MESSAGING OPT-IN DATA AND CONSENT ARE NEVER SHARED. The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties. Your consent to receive text messages is used solely to deliver the messages described in this section, and is never sold, rented, transferred, or shared with anyone for any marketing or promotional purpose.

3.8. Carrier liability. Mobile carriers are not liable for delayed or undelivered messages.

4. How We Use Information

We use the information we collect to operate the Service: to schedule and confirm sessions, process payments, maintain rosters and athlete records, send the notifications described above, provide customer support, and secure and improve the platform.

We do not use family or athlete information for advertising, and we do not sell personal information.

5. How Information Is Shared

5.1. With your Academy. Information you provide when registering with an Academy is visible to that Academy's staff. This is the purpose of the Service.

5.2. With service providers (subcontractors). We use a small number of providers strictly to operate the Service on our behalf: Supabase (data hosting), Vercel (application hosting), Stripe (payments), Resend (email delivery), and Twilio (text message delivery). These are subcontractors performing support services for us. They process data only to perform those services, may not use it for their own purposes, and may not sell or share it. THIS EXCLUDES TEXT MESSAGING ORIGINATOR OPT-IN DATA AND CONSENT; that information will not be shared with any third parties. We do not share personal information with any third party, affiliate, or lead generator for marketing or promotional purposes.

5.3. Between Academies. Never. Each Academy's data is isolated. One Academy cannot see another Academy's families, athletes, or payments.

5.4. Legal. We may disclose information if required by law or to protect the rights, safety, or property of HQPodium, our customers, or the public.

6. Children’s Information

HQPodium is used by Academies that train young athletes. Athlete records (such as a child's name, age group, and team) are created and controlled by the parent or guardian who registers, and by the Academy. We do not knowingly allow children under 13 to create their own accounts. A parent or guardian may review, correct, or request deletion of their child's information at any time by contacting their Academy or emailing support@hqpodium.com.

7. Data Retention & Security

We retain information for as long as an Academy maintains an active account, and as needed to comply with legal and financial record-keeping obligations. Data is encrypted in transit and at rest, and access is restricted by role.

8. Your Choices

You may opt out of text messages at any time by replying STOP. You may request access to, correction of, or deletion of your personal information by emailing support@hqpodium.com. If you are a parent, you may also ask your Academy directly.

9. Changes to This Policy

We may update this Policy from time to time. Material changes will be posted here with a revised "Last Updated" date.
